General Terms and Conditions for Participation

Registration Fees
Your registration and hotel reservation are binding, subject to the cancellation policy below.

You will receive a contractually binding confirmation of your registration and hotel bookings by e-mail within two (2) working days. All prices are inclusive of VAT at current rates.

Participation fees will be debited on your credit card with immediate effect. Payment of hotel rooms to be made directly with the hotel at your time of stay. Valid credit card details are required to secure the hotel booking. Members of Official Delegations opting for payment by bank transfer will receive invoices which must be settled within 15 days of the issue date.

An invoice for payment by credit card can be provided to you upon request at the Registration Help Desk.


Cancellation and changes
Should you need to review or modify any details of your registration, you can re-enter the registration portal at any time using your login details. Please note that any changes or cancellation of registration, hotel or technical and cultural tours can only be accepted if submitted in writing to info@itf-leipzig.org or by fax to +49 341 678 8972.

Registrations: may be cancelled until 30 April 2014, incurring a cancellation charge of €50.00. Cancellations after that date will incur a charge of 90% of the total invoiced sum. Reimbursements will be made directly and will also be confirmed in writing.  Where relevant, invoices in respect of cancellation fee payments will also be provided.
Registration is transferable, and changes to the named delegate(s) can be made free of charge at any time.

Hotel bookings: may be cancelled free of charge until 30 April 2014. Cancellations after this date will incur a charge of the rate for one room-night. Where relevant, invoices in respect of cancellation fee payments will be provided.

Cultural tours: may be cancelled free of charge until 7 May 2014. Cancellations after that date will incur a charge of 100% of the total invoiced sum. Reimbursements will be made directly and will also be confirmed in writing.  Where relevant, invoices in respect of cancellation fee payments will also be provided.
Cultural tour bookings are transferable, and changes to the named delegate(s) can be made free of charge at any time.

Technical tours: may be cancelled free of charge. However, as spaces on technical tours are limited, please inform the Registration Help Desk as soon as possible (ideally before 7 May 2014) of any cancellation or changes to allow other Summit delegates to participate.


Photography and Recording
By participating in the International Transport Forum’s Annual Summit, you acknowledge that your participation and interventions may be recorded (video and audio) and/or photographs taken and hereby waive any right to oppose, and expressly authorise the International Transport Forum and authorised conference organisers to record your conference activities and make them available for public viewing (including use of the Internet, press, publications) or as it may see fit. 


Data Storage and Use
The storage and processing of personal data will be undertaken by the International Transport Forum (part of the Organisation for Economic Cooperation and Development (OECD)) and authorised contractors. Data protection, storage and use by authorised contractors are required to respect the European Union Data Protection Directive 95/46/EC and any instructions provided by the OECD. 

Personal data may be used for International Transport Forum event invitations, registration, related events preparation, distribution of information pertaining to the International Transport Forum, or as the OECD sees fit.

The individual authorises the collection, use the processing of personal data upon submitting their information as part of any International Transport Forum related event registration process. Individuals may request access to, rectify data, or withdraw their consent for use of personal data upon written application to the International Transport Forum at or 2 rue André Pascal, F-75775 Paris, Cedex 16, France.


Liabilities
The place of fulfilment and court of jurisdiction in respect of obligations of either party is Leipzig. The laws of the Federal Republic of Germany shall apply. 

The International Transport Forum does not accept liability at any time for travel, accommodation, injury or illness, or personal conduct of individual delegates. It is recommended that each delegate arrange suitable travel and health insurance that will cover the duration of their attendance at the Annual Summit.
